A year at the top

Dear members
It has been a wonderful year training and working with you people. We are reaching the climax of our season and with the last competition of this academic year, we will also see the retirement of the current committee. With the passing of the old committee, it is imperative that a new reliable and committed batch are inducted into the management of the club.
I have delineated the structure of the management and the responsibilities of the various positions available. The roles and responsibilities of the comm members may be reshaped by the new members if they so feel the need. So what I have below serves merely as a guideline and not all positions need to be occupied. What is more important would be they be occupied by capable and responsible members.
The Annual General Meeting of the Club will be held next Monday, 26th of March at 6.30pm at MPSH2. I strongly urge all club members to be present. The election of the new committee will be by voting, all members are free to run for the positions available. The candidate will have to present to the club a short speech outlining his/her commitments, plans for the club's future and why he/she will have the ability to handle the chosen role. Non committee members are allowed one vote for each position while committee members are allowed two. Both votes are to be casted for the same candidate per position. In case of a tie, the candidates will give a second speech and voting is conducted again.

Chairperson/Vice Chairperson
1. They will lead the training and actively assist the coach.
2. Attend meetings of Sports Club, liaisons with SRC and other schools' Judo club as representatives of NUS Judo Club.
3. Participate as a comm member or designate another Judo comm member to be part of the Combined Martial Arts Display.
4. Plan the list of activities and program for the New Academic Year.
5. Lead each activity the club is involved in and designate appropriate duties to other members. Eg. Matric Fair, Sports Camp Judo Performance.
6. Oversee the projects held by the various comm members.
7. Determines the budget allocation with advice from the treasurer.
8. Chairs all Club Committee meetings

Treasurer
1. Handles all financial matters, including claims and statement of accounts.
2. Advises the Chairperson on budget allocation.

Secretary
1. Handles all administrative matters like Grading and IVP registration.
2. Organize all club/comm meeting, including details like meeting time/ place and notification of members.
3. Taking of minutes and uploading them after Chairperson has vet through.

Quartermaster
1. Handle all club equipment including maintenance and replenishing of 1st Aid kit.
2. Hold on to the club cupboard's key and to draw the 1st Aid Kit before training and return it after.
3. Acquisition of Gi and belts.
4. To ensure the good and clean condition of the mats and training area.

Publicity representative
1. Handle all marketing and publicity issues.
2 Take charge of the Club Notice Board.
3. Handles all the Club's Publication including those on school email and newsletter ( sportlight).
4. Responsible for the publicity of the club during Matric Fair.

Welfare Representative
1. Promotes interaction among members
2. Organize outings and chalets.
3. Remember the birthdays of members and prompt celebrations.

Training I/C
1. Prepares the club for Grading.
2. Comes up with training program and supervise the progress of members.

Events I/C
1. Handles ad hoc events.
2. In charge of special projects like Self defense courses.

All comm members are to assist the Chairperson when ever possible and when ever is required of them.
